What is managed print services?
Managed print services (MPS) is exactly what it sounds like — we manage your printers and copiers for you. Instead of buying toner reactively, calling out an engineer when something breaks and trying to keep an eye on print costs department by department, you hand the whole thing to a single supplier and get it back as one tidy monthly bill. Toner arrives before you run out, engineers visit on a schedule, and reporting tells you who's printing what.
Who is MPS for?
MPS makes sense for any business with three or more devices, or anyone whose office manager has better things to do than chase consumable orders. Schools, GP practices, accountancy firms, solicitors, charities and growing SMEs all benefit — but so do larger employers with multi-site fleets where centralised reporting and a single point of contact actually saves admin time.
What does it actually cost?
Most W·A·Hutton MPS contracts are priced as a cost-per-page figure with a low (or zero) monthly minimum. That means you only pay for what you print, and the price already includes toner, parts, labour and scheduled maintenance. Typical mono pages are pence; colour is a bit more. We benchmark your existing spend during the quote stage so you can see exactly where the savings come from before signing.
What's included?
Every W·A·Hutton MPS package includes automatic toner delivery (we monitor levels remotely so cartridges arrive before staff have to ask), scheduled preventative maintenance visits, parts and labour for repairs, usage tracking and quarterly reporting, plus a single point of contact for everything print-related. Optional add-ons include print release / follow-me printing, secure scanning, and rules-based routing of large jobs to the most cost-effective device.
MPS vs ad-hoc repairs
Without a contract, every paper jam means a callout fee, every toner means a separate purchase order, and every breakdown is a fresh disruption. With MPS, those costs become predictable, the supplier has a financial incentive to keep your fleet running well, and your staff stop emailing IT about printers. For most clients, the move from ad-hoc to MPS pays for itself within the first 6 months — purely in admin time saved.
